Shift Review Dashboard Alert Conditions

Overview

The Shift Review Dashboard helps agencies quickly identify visits that may require attention. Alerts are generated automatically when specific conditions occur during a shift.

Below is a description of each alert type and what causes it to appear on the dashboard.


Arrived Late

Trigger: The caregiver clocks in later than the scheduled start time.

The amount of time required to trigger this alert is controlled by the agency's Punch Grace Period setting.


Arrived Early

Trigger: The caregiver clocks in before the scheduled start time.

The amount of time required to trigger this alert is controlled by the agency's Punch Grace Period setting.


Left Late

Trigger: The caregiver clocks out later than the scheduled end time.

The amount of time required to trigger this alert is controlled by the agency's Punch Grace Period setting.


Left Early

Trigger: The caregiver clocks out before the scheduled end time.

The amount of time required to trigger this alert is controlled by the agency's Punch Grace Period setting.


Overserved

Trigger: The actual visit duration exceeds the scheduled duration by 15 minutes or more.

Example:

  • Scheduled Shift: 9:00 AM - 1:00 PM

  • Actual Shift: 9:00 AM - 1:20 PM

Result: Overserved alert generated.


Underserved

Trigger: The actual visit duration is 15 minutes or more shorter than the scheduled duration.

Example:

  • Scheduled Shift: 9:00 AM - 1:00 PM

  • Actual Shift: 9:00 AM - 12:40 PM

Result: Underserved alert generated.


AWOL

Trigger: The caregiver never clocks into the shift.

This alert identifies scheduled shifts where no clock-in activity has occurred.


Outside Range of Shift

Trigger: The caregiver clocks in outside of the permitted GPS location range associated with the shift.

This alert is commonly used to identify visits where the caregiver may not have been physically present at the expected service location when clocking in.


Missing Required Tasks

Trigger: One or more tasks marked as required for the shift were not completed.

This alert helps agencies identify visits where required documentation or care tasks may be missing.


System Clock Out

Trigger: The shift was automatically clocked out by the system rather than by the caregiver.

This typically occurs when the caregiver forgets to clock out and the system performs an automatic clock-out based on agency settings.


Threshold Settings

Many of the alert thresholds used by the Shift Review Dashboard are configurable.

To review or modify these settings, navigate to:

Menu → Settings → Site Settings → Scheduling

Within the Scheduling section, agencies can configure thresholds such as:

  • Early Arrival Tolerances

  • Late Arrival Tolerances

  • Early Departure Tolerances

  • Late Departure Tolerances

  • Other scheduling-related review thresholds

Changes made to these settings directly impact when alerts appear on the Shift Review Dashboard.
