How to Give Surveyors or Auditors Access to the System

Tip Sheet: Providing Surveyor and Auditor Access

Surveyor accounts allow auditors, surveyors, and other authorized reviewers to securely access specific client records without granting access to your entire system.


Creating a Surveyor Account

  1. Navigate to:
    Menu → Clients → Representative Management

  2. Click the Register New Surveyor icon on the far right side of the screen.

  3. Complete the surveyor's basic information, including:

    • Name

    • Email Address

    • Password


Assigning Client Access

When creating the surveyor account, you will see an Attached Clients section.

This section determines which clients the surveyor will be allowed to access.

For example:

  • Rose Calderon

  • Jack Geller

  • Sam Smith

If the surveyor only needs to review records for specific clients, select only those clients.

Note: Surveyors will only have access to the clients assigned to their account.

Once all required information has been entered and clients have been selected, click Create.


Configuring Surveyor Permissions

After the surveyor account has been created, you can control which information the surveyor can access.

  1. Return to:
    Menu → Clients → Representative Management

  2. Locate the surveyor record.

  3. Open Set Surveyor Defaults.

This area controls which client information surveyors can view after logging in.

Examples of available permissions include:

  • Client Profile Information

  • Care Plans

  • Client Activities

  • Financial Logs

  • Invoices

  • Service Documentation

  • Other Client Records

Select the permissions appropriate for your auditor or surveyor and click Save.

Important: Surveyor permissions apply to all clients assigned to that surveyor.


What the Surveyor Sees

When the surveyor logs in:

  1. They will see a list of clients assigned to their account.

  2. They can select a client to review.

  3. They will only see the information allowed by the Surveyor Default Permissions.

If additional information is needed, simply update the permissions in the Set Surveyor Defaults screen.


Best Practices

  • Grant access only to the clients being audited or reviewed.

  • Provide only the permissions necessary for the surveyor to complete their review.

  • Remove or disable surveyor access when the audit or survey process is complete.

  • Review permissions carefully before providing login credentials.


Summary

To provide surveyor or auditor access:

  1. Navigate to Menu → Clients → Representative Management.

  2. Create a new surveyor account.

  3. Assign the appropriate clients.

  4. Configure permissions using Set Surveyor Defaults.

  5. Save your changes and provide the surveyor with their login credentials.

This allows auditors and surveyors to securely review only the client information you choose to share.
