Client Leads: Client Files

Tip Sheet: Client Leads - Client Files

When creating a Client Lead, you can upload and store files directly within the lead's profile. When the lead is converted into a client, all associated files are automatically transferred to the new client profile.


Adding Files to a Client Lead

Step 1: Open the Client Lead

  1. Navigate to Menu → Clients → Client Leads.

  2. Locate the desired Client Lead in the table view.

  3. Click the Communication Log icon located to the right of the lead's record.


Step 2: Upload a File

  1. Scroll down to the Files section.

  2. Click the + (Plus) button.

  3. Select Add Files.

  4. Browse for and select the file you wish to upload.

  5. Click Upload Files.

The file will now be attached to the Client Lead's profile.


Step 3: View or Manage Lead Files

After a file has been uploaded:

  1. Within the Communication Log, locate the Client Files section.

  2. Expand the section to view all uploaded files.

  3. Select a file to view it.

From this area, authorized users can:

  • View files

  • Edit file information

  • Delete files

Note: Users with the Client Manager role and higher can access files attached to Client Leads.


Converting a Lead to a Client

When a Client Lead is converted into a Client:

  • All files attached to the lead are automatically transferred to the Client Profile.

  • No additional upload steps are required.


Viewing Files in the Client Profile

After conversion:

  1. Open the Client Profile.

  2. Navigate to the Client Files section.

  3. Select a file from the File Access area to view it.

Within the Actions section, you can:

  • Adjust file visibility permissions

  • Edit file information

  • Delete files


File Visibility

When a Client Lead is converted into a Client:

  • File visibility is automatically set to Client Manager and higher roles.

  • Additional visibility permissions can be granted as needed.

To modify visibility:

  1. Open the file from the Client Files section.

  2. Locate the Actions area.

  3. Select the roles that should have access to the file.

  4. Save your changes.

Important: Review file visibility settings after conversion to ensure the appropriate staff members have access.


Summary

Client Lead Files provide a convenient way to store documents during the intake process. When a lead is converted into a client, all attached files automatically carry over to the Client Profile, helping ensure important documentation remains available throughout the client's lifecycle.
