Tip Sheet: Shift Cancellation Types

The Shift Cancellation Types feature allows agencies to categorize and track why shifts are canceled. By requiring cancellation types and cancellation reasons, agencies can improve reporting, identify trends, and standardize documentation across the organization.


Step 1: Enable Cancellation Type Settings

Before cancellation types can be used, the feature must be enabled in Site Settings.

  1. Go to:
    Menu → Settings → Site Settings

  2. Scroll to the Scheduling section.

You will find two optional settings:

Require Custom Shift Cancellation Type

When enabled, users must select a Cancellation Type when canceling a shift.

Require Shift Cancellation Reason

When enabled, users must enter a cancellation reason before a shift can be canceled.


Step 2: Create Cancellation Types

After enabling the feature, cancellation types must be created before they can be used.

  1. Go to:
    Menu → Scheduling → Cancellation Types

  2. Click the Create Category (Pen/Pad) icon.


Available Categories

Cancellation Types can be created for:

  • Caregiver

  • Client

  • Scheduler

You may create cancellation types for one category or multiple categories depending on your agency's needs.

Examples

Caregiver

  • Sick

  • Transportation Issue

  • Personal Emergency

  • No Show

Client

  • Hospitalized

  • Appointment Conflict

  • Vacation

  • Service Not Needed

Scheduler

  • Scheduling Error

  • Duplicate Shift

  • Administrative Adjustment


Important

At least one Cancellation Type should be created for any category that may be used when canceling shifts.

If no applicable Cancellation Type exists, users may receive a notification prompting them to create one before proceeding.


Managing Cancellation Types

Once created, Cancellation Types can be maintained through the Cancellation Types screen.

Edit a Cancellation Type

Click the Edit (Pencil) icon to modify:

  • Cancellation Type Name

  • Category Assignment

  • Status

View History

Click the History (Circular Arrow) icon to review changes made to a Cancellation Type.


Activating and Inactivating Cancellation Types

Cancellation Types can be enabled or disabled without deleting them.

To Change Status

  1. Open the Cancellation Type using the Edit icon.

  2. Locate the Status field.

  3. Select:

    • Active

    • Inactive

  4. Save your changes.

Inactive Cancellation Types will no longer be available for selection when canceling shifts.


Using Cancellation Types When Canceling a Shift

When canceling a shift from the Scheduling Dashboard:

  1. Select the shift.

  2. Choose Cancel Shift.

  3. Select who canceled the shift:

    • Caregiver

    • Client

    • Scheduler

  4. Select the appropriate Cancellation Type.

  5. Enter a Cancellation Reason (if required by Site Settings).

  6. Confirm the cancellation.

The selected Cancellation Type and reason will be recorded with the canceled shift.


Reporting on Cancellation Types

Cancellation Types can be reviewed through the Cancelled Shifts Report.

Menu → Accounting → Reports → Cancelled Shifts

The report can display:

  • Client Name

  • Shift Date

  • Cancellation Category

  • Cancellation Type

  • Cancellation Reason

  • Other cancellation-related details

This reporting helps agencies identify trends and monitor cancellation activity.


Best Practices

  • Create standardized cancellation types before enabling required settings.

  • Use clear and consistent naming conventions.

  • Require cancellation reasons whenever possible.

  • Periodically review cancellation reports to identify recurring issues.

  • Inactivate outdated cancellation types rather than deleting historical data.

  • Train staff on selecting the most appropriate cancellation category and type.
