Cancel Shift & Convert to Open Shift

If a client/caregiver needs to cancel a shift, follow the steps below on how to cancel a shift:

  1. Access the Scheduling Dashboard. Menu>Scheduling>Scheduling Dashboard
  2. Locate the shift the is needing to be canceled, and click on it. 
  3. Find the option labeled Cancel Shift, you do not want to delete the shift as this will remove it without letting you make a note as to why the shift was canceled or removed. 
  4. Once you have clicked on Cancel Shift, a popup will appear with a dropdown and text field. The dropdown allows you to state who canceled the shift, and then you can enter in the reasoning. 
  5. The options in Cancelled By are Client, Caregiver, or Scheduler. You would select Scheduler as the option if the shift was made in error or some other reason not involving the client or staff member. 
  6. Once an option has been submitted for who is cancelling the shift and reason has been entered you are given the option to Clone as Open Shift or No Thanks
  7. Clone as Open Shift will keep the current shift intact and not cancel and give the option to clone the same shift and details to another date. If you select No Thanks, it will cancel the shift. 
  8. Every canceled shift goes into the staff or client profile and can be pulled as a report. 

Converting cancelled shift to a open shift:

  1. If the shift is cancelled and you need to find another caregiver to work it, you can convert/close the cancelled shift into a open shift allowing you to fill it. 
  2. Click on the recently cancelled shift, and select Clone as Open Shift or Convert to Open Shift.    
  3. If you select to clone as open shift, the cancelled shift it will remain on the scheduler and an open shift will appear for the same time. If you convert the shift, the cancelled shift will no longer appear on the schedule and only an open shift will be available. 
  4. It's up to you on how you want to manage your schedule and which options to select. Once you have selected an option, the open shift will appear which allows you to fill it in with the available staff member.
