Adding & Editing Medication Tasks
To add or edit Medication Tasks assigned for your clients, please follow these steps:
Before configuring a client's medication tasks for the first time, the ability to add medication tasks must be enabled via Site Setting for your agency, which only Aaniie Support has access to. Please contact Aaniie Support for more assistance with this setting.
Navigate to the Client Management page for the client you wish to add or change medication tasks for. (Menu > Clients > Client Management > Click on Client's Photo.)
Then, scroll down and click the Client Managers heading to expand it.
Within Client Managers, find the Medication Tasks subheading.
From left to right, we can explore the layout using the example screenshot:
- 0 is the total count of assigned tasks.
- The slider to switch between Active and All tasks - excellent for viewing or hiding inactive tasks at will.
- The subheading title.
- A search icon to search within Medication Tasks.
- The pen and pad icon to create a new Medication task.
- The four arrows to expand or shrink the heading from view.
If we have tasks already entered, we can click the pencil icon to edit that task entry or the trash can icon to delete it. The purple clock icon will show the change history of all data related to the task, including which staff made it and when.
Whether editing or creating a new task, the Medication Details screen appears as shown:
- Within the search field, enter the name of the medication and select it from the dropdown list. The medication/supplement name field will be populated with your selection.
- Depending on the type of medication, the form administered (chewable tablet, injection, etc.) can also be chosen from the Form list.
- In the dosage field, you should enter the number of doses assigned to be administered.
- Details of the medication task can be written as well.
- To ensure that a follow-up task is automatically created each time this medication task is marked completed, you may check the Follow-up checkbox.
- Please note, this is distinct from creating a recurring task, which will be discussed below.
- In the Strength field, select the strength of the individual doses from the dropdown list.
- Enter the reason the client is taking this medication in the Purpose field.
Under Schedule Details, we can further configure the task:
- Check the Recurring checkbox to make the task recurring. Then, specify the Start Date, End Date Interval, and whether to make the task Open Ended (no End Date.)
- Under Schedule Type, you should enter if the medication is to be taken as needed (PRN), or at a specific time/times.
- If times are selected, you can configure the Start Time and End Time specifically.
- The Assistance Window provides staff with an additional time buffer to complete the medication task at the assigned time(s).
- By checking the Exclude task if not within shift scope, tasks assigned outside of a caregiver's shift will not be visible to them.
- Please note that this is merely to reduce visual clutter, as staff will not be allowed to complete tasks outside of the indicated time or shift scope.
- If you wish for managers to receive notifications when a client refuses a medication, check the Alert MGMT if Client Refused checkbox.
- To ensure that only staff working specific shifts receive certain medication task prompts, you can utilize the Only Show if Matching Staff Tag and Only Show if Matching Shift Tag boxes.
- This requires that staff tags/shift tags are already created and assigned to your staff or schedule for options to populate in these fields.
