Creating/Editing Tasks

When providing services to customers/clients, your caregivers may be required to perform tasks during the visit. Aaniie Care (formerly Smartcare) gives you the ability to easily assign specific tasks from a pre-formatted list.

To Assign a Task to a Customer/Client

  1. Navigate to the Menu > Clients > Client Management

  1. Select which client you would like to assign a task to and click on their profile photo to go into the Client profile.

  1. Within the Client profile, expand the section labeled Client Managers to view the Scheduled Tasks area.

  1.  Click on the icon that looks like a piece of paper and pen to create a new task.

  1. Select the specific task you wish to assign to the caregiver from the drop-down menu. You may also search for a task by typing within the search box.

  1. Once you select the task, you may add additional details related to the task.

  1. You’re also able to indicate if this is going to be a task that will occur more than once by checking the ‘Recurring’ box. As you make selections, you’ll notice that additional options will become available. You may choose to provide a time period associated with this task, or you may indicate a Start Date and then select the Open-Ended checkbox to remove the required End Date option.

  1. Next, you can indicate if this task is only to be completed on a specific day of the week and/or at a specific time of the day.

Note: Please be mindful of visits that may be rescheduled to a different day/time than indicated. Those tasks may need to be revised, or they will not be available for the caregiver to complete.

  1. You also have the option to indicate that a specific task is required by checking the Required Task box. More options will appear upon checking this box for you to review. You can also choose to receive a notification if the client refuses a task by checking the Alert MGMT if Client Refused.

  1. If a required task is selected, you will see the Task Occurrence options display. Those options are Per Shift or Per Day. Per Shift is the required task one per shift, Per Day would be the required task completed once per day.

Note: If Per Day is selected, the first caregiver shift would complete the required task. Any other caregivers who have a shift with that client that same day will see the task in the task history already completed. They can see the status level and any notes to follow if the task was refused.

  1. If you have staff that are qualified to only perform specific tasks, you can use the Required if Matching Staff Tag and Only Show if Matching Staff Tag options to limit which tasks will show for the caregivers to complete based on their qualifications.

  1. Lastly, you also have the option to indicate that a task only needs to be completed for a specific shift using the Required if Matching Shift Tag and Only Show if Matching Shift Tag options.

**NOTE: Both Shifts Tags and Staff Tags need to be created BEFORE they can be used for tasks.
