Worker Address Not Accepted Error

Overview

When entering a worker's address in Aaniie Payroll, the address is validated against the United States Postal Service (USPS) database. If the address cannot be verified, it will not be accepted.

In most cases, the issue is related to how the address is formatted or whether the address exists in the USPS database.


Common Reasons an Address Is Rejected

  • P.O. Box entered as the street address

  • A newly constructed home or street that has not yet been added to the USPS database

  • An incorrect or misspelled address

  • An address that does not exactly match USPS formatting


Troubleshooting Steps

1. Worker Uses a P.O. Box Because Mail Is Not Delivered to Their Home

In many rural areas, workers have a physical home address, but the Postal Service does not deliver mail directly to that location. Instead, the USPS associates the physical address with the worker's assigned P.O. Box.

Enter the address as follows:

  • Address Line 1: Worker's physical street address

  • Address Line 2: # (P.O. Box Number)

Example

Address Line 1:
123 Country Road

Address Line 2:
#456

This format is typically recognized during USPS address validation.


2. Worker Rents a Separate P.O. Box

If the worker rents a P.O. Box that is not associated with their physical residence, use the mailing address of the post office.

Enter the address as follows:

  • Address Line 1: Street address of the post office

  • Address Line 2: # (P.O. Box Number)

Example

Address Line 1:
123 Main Street (Post Office address)

Address Line 2:
#789


2. Newly Constructed Home or Street

If the worker recently moved into a newly built home or a new subdivision, the address may not yet exist in the USPS verification database.

Recommended actions:

  • Ask the worker for a previous mailing address.

  • Request an alternate address that is already recognized by USPS.


3. Verify the Address

If the issue is unrelated to a P.O. Box or new construction:

  • Confirm the spelling with the worker.

  • Verify apartment, suite, or unit numbers.

  • Ensure the city, state, and ZIP code were entered correctly.

  • Double-check for typing errors.

If the address still cannot be verified:

  • Request an alternate address from the worker, or

  • Use a previously recognized address if available.


Important Note

The worker's mailing address is not used to send payroll checks or tax documents directly from Aaniie Payroll. Because of this, having the exact current address is generally not critical for payroll processing if USPS verification is preventing setup. Using a previously recognized address or another valid mailing address is typically an acceptable workaround until the new address becomes available through USPS validation.
