Printing an Uncompleted Form to PDF Tip Sheet

Overview

There may be times when you need a blank copy of a form, such as a Comprehensive Nursing Assessment, for training, review, or external documentation purposes.

While forms can normally be printed or downloaded after they have been completed, there is a simple method that allows you to save a blank version of the form as a PDF before any information has been entered.

Step 1: Open the Form

Navigate to the desired form and create a new entry.

Example

  • Comprehensive Nursing Assessment

  • Any other agency form

Select Create Entry to open the form.

Important

Do not fill out any fields if you want a blank version of the form.

Step 2: Highlight the Entire Form

Starting at the top of the form:

  1. Click and drag your mouse.

  2. Highlight all form content from top to bottom.

  3. Continue highlighting until the entire form is selected.

Tip

Make sure all sections of the form are highlighted before proceeding.

Step 3: Right-Click the Highlighted Area

After the form has been highlighted:

  1. Right-click anywhere within the highlighted area.

  2. Select Print from the right-click menu.

Important

Do not use the browser's normal Print option from the menu bar.

Using the right-click Print option tells the browser to print only the content you have highlighted.

Step 4: Review the Print Preview

A print preview window will appear.

You should now see:

  • The entire form

  • Blank fields

  • Form sections

  • Questions and prompts

The preview should display the form in its uncompleted state.

Step 5: Save as PDF

Within the print dialog:

  1. Change the printer destination to Save as PDF.

  2. Click Save.

Step 6: Choose a File Name and Location

  1. Select where you would like to save the file.

  2. Enter a file name.

  3. Click Save.

Example

  • Comprehensive Nursing Assessment Blank.pdf

  • Nursing Assessment Template.pdf

Step 7: Open the PDF

Navigate to the folder where the file was saved and open the PDF.

You should now have a PDF version of the form showing:

  • All form questions

  • All sections

  • Blank fields

  • No completed information

Common Uses

Training

Provide caregivers or office staff with blank copies of forms for training purposes.

Policy Review

Review form content without creating completed records.

External Documentation

Share blank forms with outside organizations when requested.

Internal Audits

Review form structure and required fields.

Troubleshooting

Only Part of the Form Appears

Verify that the entire form was highlighted before selecting Print.

Make sure you right-click directly on the highlighted content.

PDF Is Blank

Confirm that the highlighted form content appears in the print preview before saving.

Browser Print Does Not Work Correctly

Use the right-click Print option on the highlighted content rather than the browser's standard Print command.

Key Takeaway

If you need a blank copy of a form, create a new form entry without completing any fields, highlight the entire form, right-click the highlighted content, and select Print. From the print preview, choose Save as PDF to create a PDF version of the form in its uncompleted state.
