Caregiver Rewards: Managing Rewards

After Caregiver Rewards has been enabled in the Site Settings you will have the option for Caregiver Rewards in your menu. There you can personalize your set up, award badges, add and subtract rewards points manually, and process redemptions made by caregivers. 

Caregiver Rewards Features 

1. Navigate to the Caregiver Rewards section found under Menu > Staff > Caregiver Rewards.

2. Redemption Message for Caregivers is a field where you can enter a message that caregivers will see when they redeem reward points. If you leave this area blank they will not receive a message. After typing in your message click the Save button to save the message. 


3. Rewards is the section where you would add the rewards that are available for the caregiver to see and redeem in their My Aaniie Kids and mobile app. To create a reward click the pencil/pad icon to the right of rewards. 

a. When creating a reward, you choose the name, points required, dollar value, description, and logo. There are existing logos to choose from, or you can upload up to 3 additional logos by clicking upload new logo. 

b. Once the reward is created you have two options found to the right of the reward under the actions. A pencil that allows you to edit and inactivate the reward and a clock circle that will show the history of that reward. Once it’s been marked inactive the reward will not be visible to caregivers to redeem. There is no delete option because there is a history trail with the reward. 

4. Status Levels are optional levels that can be set up for Caregivers to achieve. They define the percent multiplier your Caregivers will receive per level up. 

a. You can edit those options by clicking the pencil option under actions. The default settings are all customizable for you to pick any point value for your status levels. If you choose not to use a certain status level you would select the Inactive option and click Save. You also have the ability to create even more status levels by selecting the pencil/pad option to create. There is also a history option you can select by clicking the clock with an arrow icon in actions.

5. Badges are a fantastic way to motivate your caregivers and praise them on their hard work. 


a. To create a badge select the pencil/pad option to the right of Badges. There you can name, describe, choose a shape, color, up to two lines of text, and add a ribbon for a third line of text. Once that is created you would select save to add the badge. 


b. Once created, you have the options to edit with the pencil button. There you can inactivate the badge or edit information. Once inactive it will take the badge from all caregivers' views. 

6. Triggers are the actions that will tell Aaniie Kids  which shift qualities will add points to a Caregiver and how many points each shift quality is worth. We have up to four you can choose from for your agency. 

a. Click the pen/pad icon on the Triggers bar to add new triggers. This opens up the form to create triggers. 


b. Click in the Trigger field and select a trigger from the menu. Enter a Point Value for when this trigger occurs. Click Save when complete. 

 


c. To the right of the trigger there is an edit pencil icon and history icon. There you can edit the trigger or inactivate it. As well as look at the history of each trigger. 

7. In the Active Staff section, you can track Caregiver points and manually remove or add points or badges. To open up these options, click on the bar labeled Active Staff within the Caregiver Rewards section of the website. 

a. Awarding a Badge to a Caregiver: Click the badge icon in the Actions column.

b. Select the name of the Badge you have created from the dropdown. Enter a Note (Subject) that will be sent to the recipient, as well as a longer Message (Body). Click Award Badge when it is complete. 

c. Adding Points - To add Reward Points to a Caregiver, Click the + icon in the Actions column. This opens a box that allows you to give the caregivers points, provide context for these points, and provide a note. All of these sections are required. Click Save when it is complete. 

d. Removing points - To remove points from a caregiver, click on the “-” on the right side of their name. This will open a pop-up menu that allows you to remove points from a caregiver, provide a reason for why points are being taken away, and provide a note. All of these sections are required. When fields are complete, click Save


e. To view the entire history of any caregiver's reward points, click the View History icon to the right of the “+” and “-” icons. 

Note: Caregivers have the option to see their history on their view as well. They would simply click the History button in their My Aaniie Kids screen or Current Points on the mobile app. 

8. Reward Redemptions - Use this section to track Caregiver Redemptions and mark when you pay them. The number will be red if you have an unprocessed redemption. An empty checkbox under Processed means the reward has not been processed on the manager’s end. 

a. When you receive an email that a caregiver wants to redeem a gift, and you pay them out on the reward, click the checkbox. A pop-up dialog asks you to confirm the redemption. Aaniie Kids recommends you note how the gift was sent or received. Click Confirm when complete. 


b. When all the rewards have been processed the number will turn a green color. The rewards redemptions area will hold the last weeks worth of redemptions. After a week they will fall off from this view. 



10. KPI - There are six KPIs available for the rewards. They are found in the Reward section below the reward redemptions. You can also add them to your My Smartcare screen KPIs section.
