Offline Mode Tip Sheet

Overview

Offline Mode allows caregivers to continue using the Aaniie mobile application when internet service is unavailable. When Offline Mode is enabled, caregivers can continue documenting care and completing shift activities without an active internet connection. Once internet connectivity is restored, the information automatically synchronizes back to Aaniie.

Offline Mode helps ensure continuity of care and documentation even when caregivers are working in areas with poor cellular service or temporary internet outages.

Important Requirements

Offline Mode Must Be Enabled

Offline Mode is not enabled automatically.

Before it can be used, the feature must first be enabled for your agency.

If Offline Mode is not currently available, contact Aaniie Support for assistance.

How Offline Mode Works

When internet connectivity is unavailable:

  • The caregiver application automatically switches into Offline Mode.

  • Caregivers continue using the app normally.

  • Shift information is stored locally on the device.

  • No additional action is required by the caregiver.

When internet connectivity returns:

  • The application automatically reconnects.

  • Saved information uploads automatically.

  • Shift data appears on the Scheduling Dashboard as a normal shift.

Information Captured While Offline

Offline Mode allows caregivers to continue recording important shift information.

Supported data includes:

  • Shift locations

  • Clock-in and clock-out times

  • Tasks and ADLs

  • Shift notes

  • Reimbursements

  • Client signatures

Once the device reconnects to the internet, all information is automatically uploaded to the system.

Administrator Setup

Administrators can enable Offline Mode within Site Settings.

Menu → Settings → Site Settings

Enable Offline Mode

Within the Punchcard section:

  1. Locate Enable Offline Mode App.

  2. Check the box to enable Offline Mode.

  3. Save your changes.

Optional Setting

An additional setting is available to allow:

Unscheduled Offline Clock-Ins

This option can be enabled separately if your agency wishes to allow caregivers to clock into shifts that were not previously scheduled.

Caregiver Experience

Once Offline Mode has been enabled by the agency, caregivers do not need to manually switch between online and offline modes.

Automatic Operation

The mobile application automatically:

  • Detects internet availability

  • Switches between online and offline operation

  • Uploads saved information after reconnecting

No manual synchronization process is required.

Downloaded Shifts

When connected to the internet, scheduled shifts are automatically downloaded to the caregiver's device.

These downloaded shifts remain available if internet access is later lost.

Benefits

Caregivers can still:

  • View scheduled shifts

  • Access client information

  • Perform normal shift activities

  • Complete documentation

even while offline.

Available Functions While Offline

Caregivers can continue using standard shift functionality for downloaded shifts.

Available functions include:

  • Clocking in

  • Clocking out

  • Completing tasks

  • Completing ADLs

  • Creating notes

  • Recording mileage

  • Creating reimbursements

  • Capturing signatures

Synchronization After Reconnection

When internet service is restored:

  1. The application reconnects automatically.

  2. Offline information uploads automatically.

  3. Shift information is synchronized with Aaniie.

  4. The shift appears normally within the Scheduling Dashboard.

No Additional Steps Required

Caregivers do not need to:

  • Re-enter information

  • Upload data manually

  • Recreate shifts

Synchronization occurs automatically.

Common Use Cases

Poor Cellular Coverage

Caregivers working in areas with weak mobile service can continue documenting care without interruption.

Rural Service Areas

Offline Mode allows caregivers to continue providing services in remote locations where internet access may be inconsistent.

Temporary Internet Outages

Documentation can continue during temporary network disruptions.

Emergency Situations

Caregivers can continue recording shift activity even when internet service is unavailable.

Troubleshooting

Offline Mode Is Not Available

Verify that Offline Mode has been enabled by the agency.

If necessary, contact Aaniie Support.

Shift Is Not Available Offline

Scheduled shifts must first download while connected to the internet.

Verify that the caregiver's device had internet connectivity before going offline.

Data Has Not Uploaded

Verify:

  • Internet connectivity has been restored.

  • The application has been reopened if necessary.

  • Sufficient time has been allowed for synchronization.

Caregiver Cannot Complete Shift Activities

Verify that the shift was downloaded to the device before internet access was lost.

Best Practices

  • Enable Offline Mode before it is needed.

  • Encourage caregivers to open the app while connected to the internet before traveling to service locations.

  • Verify scheduled shifts have downloaded successfully.

  • Allow synchronization to complete after internet service is restored.

  • Train caregivers on Offline Mode functionality during onboarding.

Key Takeaway

Offline Mode allows caregivers to continue documenting care and completing shift activities even when internet access is unavailable. Once connectivity is restored, all recorded information automatically synchronizes back to Aaniie, ensuring accurate documentation and uninterrupted service delivery.

Once enabled, offline mode lets caregivers continue to use their applications when there is no internet service available. Shift data such as location, punchcard times, tasks, notes, reimbursements, and signatures will automatically upload to the Scheduling Dashboard after the app reconnects to the internet. This will appear as a normal shift.
