Error: The adjusted out date time cannot be less than the call in. The record is being rejected.
In nearly all cases we have reviewed, this error occurs when a caregiver forgets to clock in at the beginning of a visit.
A common sequence of events looks like this:
The caregiver works the visit but forgets to clock in.
When it is time to clock out, they realize they never clocked in.
The caregiver clocks in and then immediately clocks out.
This creates a visit record where the clock-in and clock-out times are only a few moments apart.
Agency staff later edit the visit and change the clock-in time to the correct start time.
When the edited visit is sent to the EVV aggregator, the aggregator rejects the record with the error:
"The adjusted out date time cannot be less than the call in."
Although the corrected times may appear valid within the system, the aggregator may still reject the record because of how it processes the original clock-in and clock-out events.
Unfortunately, simply editing the visit is typically not enough to resolve this error.
The recommended solution is:
Cancel the rejected visit.
Optionally delete the canceled visit, or leave it in a canceled status for historical reference.
Create a new manual visit.
Enter the correct punch-in and punch-out times.
Apply any required shift tags, change reasons, and other visit details.
Save the new visit and submit it to EVV.
Because the new visit is created with the correct times from the start, it can typically be sent to the aggregator without generating this error.
When this error occurs, it is usually the result of a caregiver clocking in and clocking out almost immediately after realizing they forgot to clock in. Once the original visit has been edited, the EVV aggregator may reject the record. The most reliable solution is to cancel the original visit and create a new manual visit with the correct information.
