Scheduling in Site Settings

There are several scheduling functions that are available within the Site Settings. These options allow you to determine a wide variety of things related to the scheduling systems within SmartCare. These options span from when shift reminder emails are sent out to the amount of time before and after a shift caregivers are able to clock in and clock out. To edit these functions, follow the instructions below.

1. Navigate to the Site Settings through the Site Settings quicklink on the SmartCare main page or through Menu>Settings>Site Settings. Once you are in the Site Settings scroll down to the Scheduling section.

2. Once in the Scheduling section, you will be presented with a variety of of text boxes that require inputs to determine scheduling functions, such as temporarily suspending automated scheduling alerts and information regarding shift email reminders. The GEO location perimeter is also in the scheduling section. This is where you set the distance requirements for clocking in and out.

    3. Below are more scheduling settings to choose from. Notable options are minute notifications regarding missed punches and request-off cutoff in days. You will also seeing the auto split overnight shifts at end of workweek setting. This pertains to if you would like a overnight shift at the end of the workweek splits into two shifts or one shift. More information that process please search the Knowledge Base for the article titled: Splitting/ Not Splitting Shifts at Midnight at the End of the Work Week.

    4. The last section of the Scheduling settings includes information about Quick Shifts and Breaks. This contains options about how shifts will appear on the schedule when they are created as quickshifts as well as the breaks option. For more information on Breaks search Breaks in the Knowledge Base.

Once you have edited the Scheduling settings to your liking, click the Save Settings button in the bottom right .
Scheduling settings can have a large effect on caregivers being able to clock in and out at various times, so keep that in mind when setting them.
