Tip Sheet: Navigating the Scheduling Dashboard

The Scheduling Dashboard provides several tools and views to help schedulers efficiently manage shifts, caregivers, clients, availability, and scheduling activities.

Understanding these navigation tools can help you quickly locate information, apply filters, and manage schedules more effectively.


Dashboard Navigation Controls

When viewing the Scheduling Dashboard in Staff View, several navigation icons appear above the Quick Shifts panel.

Refresh Schedule

The Refresh icon (circular arrow) reloads the current schedule view and displays any recent scheduling updates or changes.

Use this option when:

  • Shifts have been assigned

  • Changes have been made by another user

  • New schedules have been created


Previous Week

The Left Arrow displays the previous week's schedule.

Next Week

The Right Arrow displays the next week's schedule.

Return to Current Week

The Pin icon located between the arrows returns you to the current week's schedule.


Scheduling Tools Menu

The Tools icon provides access to various scheduling utilities and display options.

Depending on your permissions, these tools may allow you to:

  • Show or hide schedule information

  • Display availability data

  • Display billing information

  • View additional scheduling details

  • Access scheduling utilities


Scheduling Dashboard Views

The view selector located above the Quick Shifts panel allows you to change how scheduling information is displayed.

Client View

Displays shifts organized by client.

Use this view when:

  • Reviewing client coverage

  • Managing client schedules

  • Filling client-specific shifts


Staff View

Displays shifts organized by caregiver.

Use this view when:

  • Reviewing caregiver workloads

  • Managing staff schedules

  • Monitoring overtime and availability


Monthly View

Displays all scheduled shifts for an entire month.

Use this view when:

  • Reviewing long-term scheduling patterns

  • Planning future schedules

  • Identifying staffing gaps

Monthly View can be navigated by month rather than by week.


Interview View

Displays interview-related scheduling information and activities.


Schedule Filtering and Search Tools

Several filtering options are available at the top of the Scheduling Dashboard.


The Search field allows you to search for:

  • Clients

  • Caregivers

The search behavior depends on the selected dashboard view.

Multiple clients or caregivers can be selected simultaneously.

Click the X icon next to the search field to remove all selected search filters.


Filter Groups

The Filter Groups button allows you to display only caregivers belonging to specific groups.

Examples:

  • Office Staff

  • Caregivers

  • Nursing Staff

  • Specialty Teams


Tags Filter

The Tags button allows you to filter schedules by assigned tags.

Examples include:

  • PCA

  • RN

  • CNA

  • Specialized Certifications

This can be useful when locating staff with specific qualifications.


Open Shift Filter

The Person Plus icon allows you to filter the schedule by shift status.

Options include:

  • Open Shifts Only

  • Filled Shifts Only

Note: Only one of these views can be displayed at a time.


Client Requests Filter

The Suitcase icon filters the schedule to display only Client Requests.

This allows schedulers to focus specifically on requested services that require scheduling attention.


Cancelled Shift Filter

The Box icon allows you to toggle between:

  • Active Scheduled Shifts

  • Cancelled Shifts

This is useful for reviewing scheduling history and cancelled assignments.


Apply Filters

After selecting filters, click the Right Arrow button to apply the selected filtering options to the Scheduling Dashboard.


Quick Shift Shelf

The Quick Shift Shelf provides a fast and efficient way to create and schedule individual shifts.

Schedulers can use the Quick Shift Shelf to:

  • Create one shift at a time

  • Quickly assign caregivers

  • Fill scheduling gaps

  • Manage open shifts

This feature is especially useful when making small schedule adjustments throughout the day.


Best Practices

  • Refresh the schedule regularly when multiple users are scheduling simultaneously.

  • Use Staff View to monitor caregiver workloads and potential overtime.

  • Use Client View when reviewing service coverage.

  • Utilize Tags and Group Filters to locate qualified caregivers quickly.

  • Review Open Shifts daily to prevent coverage gaps.

  • Use Monthly View for long-term planning and staffing analysis.
