Creating Shift Templates

A shift template can be used when creating a shift via Quick shifts and Create Shifts. This process makes it easy and faster when scheduling the same type of shifts needed regularly concerning clients and other aspects of the shift.  

1. To create shift templates, first you would need to have access to create them. Only Admins can see them by default. For Accountant or Staff Management roles, an Admin would have to go under the staff's profile and under Priority Info, add the privilege "Manage Shift Templates."

2. Once that is done, you will find Shift Templates in Menu > Scheduling > Shift Templates.

3. Then click on the pencil/pad to create a shift template. 


4. Proceed by completing all the fields with a red asterisk and the non-mandatory fields as you see fit and then Save the template. 


 
5. Then go back to the Schedule Dashboard and make sure you are in either the Staff or Monthly view (Client view will not work because you have to select a client first). 

6. In the Quick Shifts section, you first need to select a client you put into your Shift Template you created. Then select the folder icon to the right of Quick Shifts and this will prompt you to select your template.


 

This will automatically grab the information from the shift template and fill in the Quick Shift form. You would then select the begin and end time for the shift and drag it onto the schedule. 

Please Note: For Admins only, there is a site setting that can be enabled affecting shift templates. This is found by going to Menu > Settings > Site Settings > Scheduling Section and enabling "Force Schedulers to Use Templates to Create Shifts." Make sure to select Save after enabling. 

 

This setting will disable fee and wage type fields on the scheduling forms. This ensures that the scheduler cannot change the wage or fee type for those shifts and can only use what was placed in the shift template form.



7. Other options are available once the shift template has been created are available under the pencil edit option. This is found in the shift templates section under the Actions to the right of the shift template. 

8. Once selected you will see those options under the Status area. Those options available are:
Active - an active usable template that can be selected when creating a shift. 
Inactive - not an option of a template to be used when creating a shift, but can be turned active again if needing to use at a later date. 
Deleted - will delete the template. NOTE: Once deleted is selected you will have to refresh your browser or leave and come back into the shift templates section to see the template removed from view.
