CareAcademy Integration Tip Sheet

Overview

The CareAcademy integration allows agencies to connect their CareAcademy account to Aaniie and view caregiver training and compliance information directly within the platform.

Once connected, agencies can:

  • Link caregivers to CareAcademy

  • Track course completion status

  • Monitor compliance from the dashboard

  • Automatically connect future caregivers

  • Run CareAcademy compliance reports

  • View course completion dates


Benefits of the Integration

The CareAcademy integration helps agencies:

  • Monitor caregiver training progress

  • Track required education and certifications

  • Improve compliance oversight

  • Reduce manual tracking

  • Centralize caregiver training information

Managers can quickly identify:

Accessing CareAcademy

Navigate to:

Menu → Resources → Marketplace

Locate:

CareAcademy

Select the CareAcademy tile to open the integration overview page.


CareAcademy Overview Page

The CareAcademy Marketplace page provides:

  • Integration overview

  • Contact information

  • Enrollment options

  • Existing account connection options

Select:

Sign Up

to begin the connection process.


Connecting Your Account

After selecting Sign Up, you will be presented with three options:

Create New Account

Creates a brand-new CareAcademy account and connects it to Aaniie.

Use Existing Account

Connects an existing CareAcademy account using your current CareAcademy credentials.

Cancel

Exits the enrollment process.


Creating a New CareAcademy Account

If you select:

Create New Account

Aaniie will:

  1. Create the CareAcademy account.

  2. Transfer available agency information.

  3. Import current caregiver information.

  4. Prompt you to connect caregivers.


Connecting Existing Caregivers

After account creation, Aaniie will ask:

Would you like to connect all current caregivers to CareAcademy?

Selecting Yes will:

  • Connect current caregivers to the integration.

  • Begin syncing caregiver records.

  • Allow training information to be tracked within Aaniie.

This provides visibility into caregiver course progress and completion status.


Using an Existing CareAcademy Account

If your agency already has CareAcademy:

  1. Select Use Existing Account.

  2. Enter your CareAcademy credentials.

  3. Complete the account connection process.

The integration will pull caregiver information and connect existing records.


Accessing CareAcademy Directly

A Sign In Here link is available during setup.

This link takes users directly to CareAcademy where they can:

  • Log in

  • Manage credentials

  • Access training content

  • Review compliance information


Automatically Connecting Future Caregivers

Agencies can configure Aaniie to automatically connect newly added caregivers to CareAcademy.

Menu → Settings → Site Settings

Locate the CareAcademy integration setting.

Enable:

Automatically Connect Future Caregivers

Click:

Save Settings


Benefits of Automatic Enrollment

When enabled:

  • Newly created caregivers are automatically linked.

  • Manual caregiver enrollment is reduced.

  • Compliance tracking remains consistent.

  • Training management becomes easier.

Important

Future caregivers must still exist in both:

  • CareAcademy

  • Aaniie Staff Management

for synchronization to occur successfully.


CareAcademy Compliance Dashboard KPI

Aaniie includes a dashboard KPI that allows managers to monitor training compliance.

Dashboard Information Includes

  • Caregiver Name

  • Course Name

  • Completion Status

  • Completion Date

This KPI can be added to the agency dashboard for quick visibility.


Understanding Completion Dates

Completed courses display the actual course completion date.

Example

Course Completed:

03/15/2025

The completion date appears within the compliance dashboard.

Incomplete Courses

Courses not yet completed display:

0000-00-00

This indicates the caregiver has not completed the course.


CareAcademy Compliance Report

Aaniie also includes a dedicated CareAcademy Compliance Report.

Menu → Accounting → Reports

Select:

CareAcademy Compliance


Report Options

The report can be generated in:

  • HTML

  • PDF

  • CSV


Filtering Options

Users can:

  • View all caregivers

  • Select a specific caregiver

  • Review individual training records


Information Included in the Report

The CareAcademy Compliance Report includes:

  • Caregiver Name

  • Course Name

  • Course Completion Date

The report mirrors the information displayed within the CareAcademy Compliance KPI.


Common Use Cases

New CareAcademy Customer

  • Create a new CareAcademy account.

  • Connect existing caregivers.

  • Enable automatic caregiver enrollment.

Existing CareAcademy Customer

  • Connect the existing account.

  • Sync caregiver records.

  • Begin tracking compliance.

Compliance Monitoring

  • Add the CareAcademy Compliance KPI.

  • Monitor caregiver course completion status.

Training Audits

  • Run the CareAcademy Compliance Report.

  • Export results to PDF or CSV.


Troubleshooting

Caregivers Not Appearing

Verify:

  • The caregiver exists in Aaniie.

  • The caregiver exists in CareAcademy.

  • The caregiver has been linked successfully.

New Caregivers Are Not Automatically Connecting

Verify:

  • Automatic caregiver connection is enabled in Site Settings.

  • Settings have been saved.

Course Completion Data Missing

Verify:

  • The caregiver completed the course within CareAcademy.

  • Synchronization has completed successfully.

Compliance Report Is Empty

Verify:

  • CareAcademy has been connected.

  • Caregivers have been linked.

  • Appropriate report filters were selected.

  • Connect all existing caregivers during setup.

  • Enable automatic caregiver enrollment.

  • Review compliance dashboards regularly.

  • Run compliance reports before audits.
