Breaks

If it's necessary for your caregiver to document their unpaid breaks of 30 minutes or more in the system follow these directions.

Reasons you may want your caregiver to add unpaid breaks:
  1. The caregiver is on a overnight shift and doesn't get paid for sleep hours. If they need to wake up and assist the client and need to get paid for those hours. They could start a break when they sleep and end it if they have to get up and help the client. Doing this the caregiver will then get paid once they end their sleep break. 
  2. The breaks allows you to either round the nearest 5 minutes or down to the minute. Documenting unpaid breaks shows when your caregiver is truly taking their breaks. 
  3. If the caregiver is working a overnight shift and OT or Holiday is being added in. The current sleep hours option does not calculate the exact time the caregiver was not working just a block amount of time is added to the shift. Breaks would work better so the exact sleep or meal hours breaks can be calculated for that shift. Then OT and holiday pay would pay out on the correct day when needed. 
How to enable Breaks and options available in Site Settings:

     1. Accessing Menu>Settings>Settings Accounting section > Breaks



      2. There you will see three options regarding Breaks. 
  1. Enable Unpaid Breaks - which allows you to enable the system to allow the caregiver to add breaks on their mobile app and schedulers and admins to add them via the scheduling dashboard. 
  2. Enable To-the-Minuate Breaks - when selected the breaks can be scheduled to the minute instead of the nearest 5 minutes. 
  3. Do not require Caregiver to enter Break Category -  There are numerous including - General, Breakfast, Lunch, Dinner, Sleep if this is selected the break category will be General for all breaks.
     3. Once enabled the caregiver has access to start and end breaks via the Mobile App. The scheduler and admins also have the ability to add full breaks via the Scheduling Dashboard

  1. Select the Punchcard in the menu and right below a current or past shift select Start a Break to create a break. 

            

  1. Add the category (that the option to make them all General is not selected), Start Date (you have the option to pick a date if it's a overnight shift), start time (exact or nearest 5 depending on which setting was chosen). Then click save when completed. 
            

  1. When you return from break you will simply click the Return from Break red option in the punchcard.  
            

  1. Fill out the options needed and select Save to return from break. 
      

NOTE: There is an option to delete if needed by clicking the garbage can at the top left of the break. 
  1. Once added the break will be visible and editable (by clicking the pencil icon) under the Breaks field. 
      

  1. Repeat again if needed by clicking the Start a Break option under Breaks.

  1. Access the Scheduling Dashboard and find the shift you want to add break to. Select the shift and select Manage Breaks
      

  1. Create a break by selecting the Add Break option or edit, look at history, or delete in the Actions options. 


  1. Once a break is entered the amount of time will be unpaid for the caregiver and subtracted from the hours paid. As well as the client fees. The client will not get charged this unpaid time. You can see this in the shift details. 
      

  1. If you are needing to charge your clients during unpaid breaks use the min client hours or flat fee options. These are available when creating or editing the shift.
